1. Purpose and Overview
Maven International works with a global network of freelance interpreters, translators, reviewers, terminology experts, technology vendors, and delivery partners across more than 20 countries. This Code sets out the mandatory professional, legal, and ethical standards we expect from all suppliers engaged in our work. Acceptance of and adherence to these standards is a strict condition of engagement.
2. Scope
This Code applies to all freelance linguists, agencies, sub-contractors, consultants, and technology vendors providing services directly to Maven International or to our clients on our behalf.
3. Quality and Professional Conduct
- Competence: Suppliers must possess the exact qualifications, language pairs, and subject-matter expertise they have declared during onboarding.
- Delivery: All assignments must be executed exactly to the agreed scope, format, and deadline.
- Sub-contracting: Sub-contracting or outsourcing any part of an assignment to a third party is strictly prohibited without prior written approval from Maven International.
4. Confidentiality
All client materials, source texts, project content, specialized terminology, and reference data must be treated as strictly confidential. This information:
- May be used solely for the purpose of executing the assigned project on a strict need-to-know basis.
- May not be retained, copied, or shared once the assignment is complete, unless explicitly instructed by Maven International for quality assurance or audit purposes.
- Note: Confidentiality obligations remain legally binding and survive the termination of your engagement (Code of Ethics, Section 13).
5. Data Protection and Security
Suppliers must handle all personal data and sensitive client content in compliance with applicable data protection laws and Maven International’s Privacy & Security standards.
- Platform Integrity: Work conducted within our secure CAT (Computer-Assisted Translation) environment must remain entirely within that platform.
- Data Restrictions: Downloading, copying, or storing segregated client assets on local drives or off-platform storage is strictly prohibited unless explicitly authorized in writing.
6. Legality and Ethical Standards
Suppliers must comply with all applicable local and international laws, including tax, employment, anti-bribery, economic sanctions, and export-control regulations (Code of Ethics, Sections 3, 9, 10). We maintain zero tolerance for:
- Bribes, kickbacks, or facilitation payments.
- Child labor, forced labor, or the withholding of wages.
- Any form of discrimination or workplace harassment.
7. Conflicts of Interest
All suppliers are required to disclose any potential, actual, or perceived conflict of interest relating to a client, project, or competing engagement before accepting an assignment.
8. Reporting, Governance, and Review
- Reporting: Suspected breaches of this Code can be reported in good faith through our standard corporate contact channels. All reports are handled confidentially.
- Governance: This document is owned by the Director of Operations and is reviewed every two years.
